Enriching blank dimensions

Fill in a blank Department or Vendor on a transaction — labels move, totals stay tied to QuickBooks.

QuickBooks data often arrives incomplete — a transaction line with no class (so its Department is blank) or no vendor (so its Vendor is blank). Rather than making you fix every line back in QuickBooks, Enrichment lets you fill in the missing Department or Vendor right here in Potenza. Your assignment is layered on top of the synced data — Potenza never writes back to QuickBooks — and the amount immediately moves into the right bucket everywhere it’s reported.

Filling in a blank

  1. Pick a view: Missing Department or Missing Vendor lists every transaction line whose Department or Vendor comes out blank.
  2. In the line’s dropdown, choose an existing member, or type a new name and choose Create & assign to make and apply it in one step. There’s no Save button — the assignment takes effect the moment you pick.
  3. To tag many lines at once, tick their checkboxes and use Set Department… / Set Vendor… in the toolbar.

A member you create while enriching is available immediately in every picker and in your reports. It exists only because of your assignments — remove them and it’s gone. Enrichment only fills blanks; to change a value QuickBooks already provides, use the Dimension mapping tab instead.

What happens when the data changes

An assignment sticks to its transaction line through every data refresh. Because Potenza recognizes a line by its details — its date, amount, account, and memo — one thing to know: if that line is edited in QuickBooks (its amount, date, or account changed), Potenza can no longer match your assignment to it. Rather than guess, it flags the assignment for you. Assignments are never silently wrong.

The Needs review view (and a banner on the Data tab) surfaces two cases:

  • Conflict — QuickBooks now reports a real value where the line used to be blank. Your assignment still wins, but you can Keep mine or Accept QuickBooks (which drops your assignment so the source value flows through normal mapping).
  • Not found — the line no longer appears in QuickBooks (it was edited or deleted). Its assignment stops affecting your numbers; Dismiss clears it from the list.

Seeing what’s enriched

The Enriched view lists every active assignment with its transaction details and lets you Remove one or open its History — the full record of every change, kept permanently. Across the app, an enriched Department or Vendor shows in Potenza’s color so it’s always clear which values came from you versus from the source. The tab header also shows the share of transaction dollars that are fully tagged, so you can see coverage improve as you go.

Enrichment changes labels, never numbers — it moves an amount into the right Department or Vendor, but the totals on your statements stay exactly the same and still tie to QuickBooks.
